TENT RENTAL

Frequently Asked Questions

What kinds of tents do you offer?

We offer two main types of temporary overhead structures: commercial-grade high-peak frame tents (professionally installed, engineered structures secured with ground stakes or concrete ballast) and pop-up canopies (lightweight, portable shade structures).

What is a high-peak frame tent?

A high-peak frame tent is a commercial-grade, engineered overhead structure with a peaked roof design. It is professionally installed by trained crew and secured with ground stakes on grass/dirt or concrete ballast on asphalt/concrete. High-peak frame tents provide enhanced stability and are designed for structured event environments.

What is a 20x20 tent?

A 20x20 tent is a commercial-grade high-peak frame tent measuring 20 feet by 20 feet. It is a professional-grade, engineered structure secured with stakes or ballast. The high-peak design provides enhanced stability and elegant appearance. Our 20x20 tents are temporary event structures designed for structured event environments.

What is a 20x20 high-peak frame tent?

A 20x20 high-peak frame tent is a commercial-grade, engineered overhead structure measuring 20x20 feet with a peaked roof frame. It is professionally installed by trained crew and secured with ground stakes or concrete ballast. The frame design provides excellent stability and is suitable for various event types.

What is a frame tent?

A frame tent is a temporary overhead structure built on an engineered metal frame rather than using center poles. Our frame tents are commercial-grade, professionally installed by trained crew, and secured with ground stakes or concrete ballast. The frame design provides excellent stability and usable interior space.

What is a pop-up canopy?

A pop-up canopy is a lightweight, portable shade structure designed for smaller-scale or short-duration coverage needs. Pop-up canopies are secured using appropriate weights or anchoring systems. They are intended for light rain only and have specific wind safety thresholds (safe installation range: 12-18 mph sustained wind without sidewalls; mandatory takedown at gusts of 25 mph or greater).

What is the difference between a frame tent and a canopy?

Frame tents are commercial-grade, engineered structures professionally installed and secured with stakes or ballast. They have enhanced stability and higher wind resistance (safe installation range: 25-30 mph sustained wind without sidewalls; mandatory takedown at gusts of 40 mph or greater). Pop-up canopies are lightweight, portable structures with lower wind resistance (safe installation range: 12-18 mph sustained wind without sidewalls; mandatory takedown at gusts of 25 mph or greater).

How do you install tents?

Our trained crew professionally installs all structures according to industry safety practices. High-peak frame tents are secured with ground stakes on grass/dirt or concrete ballast on asphalt/concrete. Pop-up canopies are anchored appropriately for surface conditions. Delivery and installation occur within a 3-hour window. Exact times are not guaranteed. You must clear all obstacles, mark tent placement location, and identify underground utilities prior to our arrival.

What surfaces can you install tents on?

We can install tents on grass, dirt, asphalt, and concrete. On grass/dirt, high-peak frame tents are secured with ground stakes. On asphalt/concrete, we use concrete ballast blocks. Renter acknowledges that cosmetic surface markings may occur from ballast or tent legs. Company is not responsible for cosmetic surface damage caused by tent legs or ballast.

What site preparation is required?

Before delivery, you must clear all obstacles, mark the tent placement location, and identify and mark underground utilities. If the site is not ready upon arrival, additional labor or delay fees may apply. You must also disclose any access limitations (stairs, extended carry distances, difficult access) before delivery.

What if my site has concrete?

We can install tents on concrete using additional concrete ballast blocks or by drilling into concrete or asphalt. Concrete ballast blocks may cause minor surface scratching or pressure marks. Company is not responsible for cosmetic surface damage caused by ballast.

Do you require underground utilities to be marked?

Yes, you must identify and mark underground utilities before our arrival. This is a safety requirement. Failure to do so may result in additional fees or delay of installation.

What happens if I can't prepare my site in time?

If the site is not ready upon arrival, additional labor or delay fees may apply. We recommend preparing your site at least 24 hours before the scheduled delivery window. Contact us immediately if you have any concerns about site readiness.

Weather Safety and Limitations.

Are tents weather-proof?

Tents are temporary shade structures and are not weather-proof. No temporary structure can guarantee protection against extreme wind, hail, flooding, or severe storms. Outdoor events carry inherent weather risk. Renter assumes all weather-related risks associated with outdoor events. No refunds shall be issued due to weather-related safety decisions or mandatory safety actions. (unless weather insurance is acquired)

What are the wind safety limits for frame tents?

Commercial-grade high-peak frame tents have the following wind safety thresholds when properly anchored or ballasted: without sidewalls, safe installation range is 25-30 mph sustained wind with mandatory takedown at gusts of 40 mph or greater; with sidewalls, safe installation range is 20-25 mph sustained wind with mandatory takedown at gusts of 35 mph or greater. Sidewalls increase wind load and may reduce allowable thresholds at Company discretion.

What are the wind safety limits for pop-up canopies?

Pop-up canopies have the following wind safety thresholds: without sidewalls, safe installation range is 12-18 mph sustained wind with mandatory takedown at gusts of 25 mph or greater; with sidewalls, safe installation range is 8-12 mph sustained wind with mandatory takedown at gusts between 15-20 mph. Sidewalls significantly increase wind load and structural stress.

What happens if severe weather occurs?

Installation will not occur and structures may be removed if severe weather advisories or warnings are active, lightning, hail, flooding, or microburst conditions are present, or site conditions become unsafe. Company reserves the right to delay installation, refuse installation, require evacuation, or initiate takedown. All safety determinations are made at Company's sole discretion. No refunds shall be issued due to weather-related safety decisions.

What is your rain policy?

High-peak frame tents are designed to handle moderate rainfall with tensioned vinyl tops that reduce pooling. Pop-up canopies are intended for light rain only and have risk of water pooling during moderate or heavy rainfall. No refunds are issued for rain or other weather conditions.

Can you remove the tent if weather gets bad?

Yes, the Company reserves the right to require evacuation and initiate takedown if site conditions become unsafe. All safety determinations are made at the Company's sole discretion. No refunds are issued for these actions

What if I'm concerned about weather on my event date?

Renter assumes all weather-related risks. No refunds are issued for weather-related cancellations or safety decisions.

We do offer a Windy Day Protection Plan for a total peace of mind. This coverage gives you a "plan B". If severe weather or high wind alerts make it unsafe to set up your structures on your scheduled date, we'll waive the standard cancellation fees and let you reschedule for free. Its the ultimate insurance for El Paso Hosts!
